Booking Terms
Introduction
These terms explain how a Velvet Keys booking is agreed and managed. Your written quote and booking confirmation set out the details for your event. Please raise any questions before accepting an offer.
Enquiries and confirmation
An enquiry, an available date in the calendar or a conversation about an event does not create a confirmed booking. A booking is confirmed when the event details and terms have been accepted, any booking payment specified in the quote has been received, and Velvet Keys has issued written confirmation.
Your agreed performance
The confirmation records the event date, venue, performance times, agreed musical arrangements and fee. Any specific song requests must be agreed in advance. Changes to the performance are effective only when agreed in writing.
Fees and payment
The quote states the total agreed fee, any booking payment and the due date for the remaining balance. Any agreed travel costs or other charges are included or clearly identified. Additional services or time are charged only by agreement. If a payment is overdue, we will contact you to discuss it before taking further steps under the agreement.
Piano and venue arrangements
The performance uses a suitable piano at the venue; Isa does not bring a piano. The instrument, its condition and location must be discussed before confirmation. Please ensure the venue provides the agreed access and a safe, suitable performance area. Any tuning, moving or hire arrangements and responsibility for their costs must be agreed separately in writing.
Timings and changes
Please notify us promptly if the venue, timetable or requirements change. We will discuss whether the change can be accommodated and whether the fee needs to change. Delays do not automatically extend the agreed finish time. Any extension depends on availability and agreement.
Cancellation by you
Please cancel in writing as soon as possible. Any cancellation charge will be reasonable and reflect loss directly resulting from the cancellation that cannot reasonably be recovered. We will take account of costs saved and any replacement booking obtained, and explain the calculation. Payments already made will be credited against any amount properly due, with any remaining balance refunded. Payments are not automatically forfeited simply because a cancellation occurs.
If Velvet Keys cannot perform
If Isa becomes unable to perform, we will notify you promptly. Any alternative arrangement must be acceptable to you. If an agreed alternative cannot be provided, payments for the performance that cannot be delivered will be refunded. This does not limit any other rights you may have under applicable law.
Events outside either party’s control
If circumstances outside either party’s reasonable control prevent the agreed performance, we will discuss the practical options, including rescheduling where possible. Any refund or other financial outcome will take account of the circumstances and applicable law; there is no automatic right to retain all payments.
Recording and photography
Please discuss any planned filming, recording, livestreaming or commercial use of the performance before the event so that permissions and practical arrangements can be agreed.

Your rights
These terms do not exclude or restrict rights that cannot lawfully be excluded or restricted. Any rights that apply to your particular booking remain available to you.
